Preparing Your Business for Winter

As the colder months approach, it's worth taking time to make sure your business's IT is ready for winter. Falling temperatures, severe weather and shorter daylight hours can all create challenges for businesses, from equipment problems and power cuts to security concerns and unexpected downtime.

Preparing in advance can help you keep your systems running smoothly, protect your premises and reduce the risk of disruption during the winter months.

Protect Your IT Equipment from the Cold

Cold weather can affect IT equipment, particularly in buildings with poor insulation, fluctuating temperatures or inadequate heating. Servers, networking equipment and computers all need suitable operating conditions to work reliably.

It's worth checking that your server rooms and equipment areas have appropriate heating and ventilation. Avoid placing equipment near draughty windows or external doors, and make sure rooms remain within the manufacturer's recommended temperature range.

Condensation can also be a concern when cold equipment is moved into warmer environments. If you're bringing devices in from the cold, allow them to reach room temperature before switching them on.

Prepare for Power Cuts and Connectivity Issues

Winter storms, heavy rain and strong winds can cause power cuts and disrupt internet connections. Without suitable preparation, these problems could prevent employees from accessing essential systems, communicating with customers or completing important work.

Consider whether your business has the right backup arrangements in place. An uninterruptible power supply (UPS) can provide temporary power to critical equipment during an outage, giving systems time to shut down safely or allowing operations to continue briefly.

It's also worth reviewing your data backups and checking that important files can be recovered if equipment fails. If your business relies on cloud-based systems, make sure employees know how to work remotely when it's not possible to access the office.

Keep Your Business Secure During Darker Evenings

Shorter days mean business premises are often left in darkness earlier in the afternoon. This can increase the importance of reviewing your physical security, particularly if your premises contain valuable equipment or sensitive information.

Check that CCTV systems are working correctly, security lighting covers entrances and vulnerable areas, and alarm systems are functioning as expected. If you use remote monitoring, make sure authorised staff can access the systems when needed.

It's also worth reviewing who has access to your premises and whether any changes are needed to keyholding or opening and closing procedures.

Make Sure Your Team Can Work Remotely

Severe weather can make travelling to work difficult, so having a reliable remote working setup can help keep your business operating when employees can't safely reach the office.

Check that staff can securely access the files, applications and communication tools they need from home. Business phone systems may also support call forwarding, helping employees continue answering calls even when the office is closed.

Make sure remote access is secure, devices are up to date and employees know who to contact if they experience technical problems.

Review Your IT Before Winter Arrives

Winter can put additional pressure on your business, but reviewing your IT in advance can help you identify potential problems before they cause disruption.
